HireAV.tech respects your privacy and is committed to protecting your personal data. This Privacy Policy explains how we collect, use and safeguard personal information from customers, suppliers, employees and subcontractors, in line with the UK GDPR and the Data Protection Act 2018. It complements our internal Data Protection Policy.

2. What Information We Collect
We may collect personal data such as names, contact details, business information, payment details and communication records. For employees and subcontractors, we may also process HR and payroll-related information. When filming or streaming events, we may capture images, video and audio of participants.
3. How We Use Personal Data
- To provide and manage our AV, video production and IT services
- To manage customer and supplier relationships
- To process payments and invoices
- To comply with legal and regulatory obligations
- To communicate service updates, and marketing where consent has been given
4. Legal Basis for Processing
Our legal bases for processing include performance of a contract, compliance with legal obligations, our legitimate business interests, and consent where required — for example for marketing or, in some cases, for capturing identifiable individuals in event footage.
5. Sharing Your Information
We do not sell personal data. We share it only where necessary — for example with subcontractors working on an event under confidentiality obligations, or with service providers such as payment and cloud-storage providers — and only to the extent needed. When we film or stream on behalf of a client, the client is responsible for the resulting footage as set out in our agreement with them.
6. Event Footage
Events we film or stream may capture identifiable individuals. We work with the client to ensure participants are given appropriate notice and, where required, the opportunity to consent. Footage is handled securely and retained or deleted in line with the agreement with the client.
7. Data Retention
We keep personal data only for as long as necessary for the purpose it was collected, or as required by law. Event footage is retained in line with the relevant client agreement.
8. Data Security
We protect personal data with appropriate technical and organisational measures, including access control, secure storage and backup, and secure transfer, as set out in our Information Security and Cyber Security policies.
9. Your Rights
You have rights under the UK GDPR, including the right to access your data, to have it corrected or erased, to restrict or object to processing, and to data portability. To exercise any of these rights, contact us using the details above. You also have the right to complain to the Information Commissioner’s Office (ICO).
